Your data is yours.
How Gaia Symbiosis collects, uses, stores and protects your personal information. Last updated 23 October 2026.
The short version
- We only collect what each tool needs to work, and we never sell your data or use it for advertising.
- Your CV Prompt Builder work is private to your Google account. Nobody else can read it, including other users.
- You can delete everything yourself, at any time, with one button.
- We use no advertising or tracking cookies.
1. Who we are
Gaia Symbiosis is a business based in Albury, NSW, Australia, operated by Indika Amarasinghe ("we", "us"). We handle personal information in line with the Privacy Act 1988 (Cth) and the Australian Privacy Principles. Contact us at iamarasinghe96@gmail.com.
2. What we collect and why
Booking a call
When you use the booking form we collect your name, email, company (optional), the service you're interested in, your preferred date and time, and your message. We use this only to arrange and hold your call. It is stored in our Google Sheets account and sent to our email inbox.
CV Prompt Builder (GetHired)
- Without signing in: everything you enter stays in your own browser. We don't receive it.
- When you sign in with Google: we receive your name, email address and profile picture from Google to identify your account. Your profile, job descriptions, prompt templates, document edits, style choices and signature are saved to your account so they follow you across devices.
- Your saved data is protected by security rules that allow only your signed-in account to read or change it.
Spelling and grammar check
When you use "Check spelling & use in Prompt Builder", the text of your CV profile is sent over an encrypted connection to Groq, an AI provider, to be proofread, and the corrected text is sent back to you. We don't keep a copy. To prevent misuse we record how many checks each account makes in an hour, with no content, and these counters expire automatically.
Waitlists
If you join a tool waitlist, your email app sends us a message with your email address. We use it only to tell you when that tool launches.
Website visits
Our hosting provider keeps standard technical logs, such as IP address, browser and pages requested, for security and reliability. We don't use analytics, advertising or tracking cookies. Signing in stores a sign-in token in your browser so you stay logged in.
3. Who we share it with
We never sell or rent your personal information. We only use these service providers, each to run part of the site:
- Google (Firebase sign-in and database, Google Sheets, Gmail, Google Fonts)
- Vercel (website hosting)
- Groq (spelling and grammar check, only when you use it)
Some of these providers may store or process data outside Australia, for example in the United States. Each is bound by its own privacy and security commitments. We may also disclose information if the law requires it.
4. How we protect it
- Every page is served only over HTTPS, so data is encrypted between your browser and our services.
- Database rules check every read and write, so each account can only reach its own data.
- API keys and credentials live only on our servers, never in your browser.
- Pages use a strict content security policy, and requests to our servers are checked to come from our own site and a signed-in user.
5. Your choices and rights
- Delete everything: in the CV Prompt Builder, open How it works and click Delete all my data. This permanently removes your saved work and your sign-in record.
- Access or correct: everything you've saved is visible and editable in the tool. For booking information, email us and we'll send or correct it.
- Ask a question or complain: email iamarasinghe96@gmail.com. We'll respond within 30 days. If you're not satisfied, you can contact the Office of the Australian Information Commissioner.
6. How long we keep it
CV Prompt Builder data stays until you delete it or ask us to. Booking details are kept for as long as needed to arrange and follow up your enquiry, then deleted on request. Usage counters for the spelling check expire within a day.
7. Changes
If we change how we handle your information, we'll update this page and the date at the top.
